That table typically lists the version number, date, author, and a short description for that revision. One example would have “v1 – 2025-04-01 – initial draft” followed by “v2 – 2025-04-05 – updated payment terms” and “v3 – 2025-04-10 – corrected liability cap.” This eliminates the guesswork for someone opening an old copy and wondering whether later edits were already merged in.
Without such a table, the reader could end up comparing two separate documents side by side just to see what changed, which is slow and raises the odds of overlooking a revision. Before asking for feedback or approval, send a brief message that repeats the version name and the change you made. For example, “I uploaded v4 of the draft with the corrected liability cap. Please use that version for your review.” This small step confirms that both sides are working from the same document and reduces the chance of feedback being applied to the wrong draft.
A reply with comments that reference an older version forces a recheck of which clauses the recipient saw. That slows down the revision cycle and can cause repeated corrections. A quick confirmation message before the review starts saves time and keeps the revision history clean.
